When a subscription ends
Every Madoo organization works under a subscription: a plan bought for a period, renewed until someone cancels it. Over time an organization can have several subscriptions, one after another, but never more than one at the same time. When the current one ends, the organization does not drop to a free tier and nothing is deleted straight away: the account becomes read-only.
A read-only account
Section titled “A read-only account”A subscription has ended when it was cancelled and its last paid period is over, when a trial or a payment lapsed, or when it is paused. From that moment:
- Everything can still be seen. The members sign in to the Madoo web app as before and open their workflows, document templates, files, past runs and their results. Nothing is hidden and nothing is downloaded on their behalf: they read and download what they need, as before.
- Nothing can be changed, bought or run. Saving a workflow, uploading a file, inviting a member, buying credits or starting a run is refused, wherever it comes from: the editor, the Public API, the MCP server, an app, a batch. The editor opens workflows read-only.
- Runs already in progress finish. A run started while the subscription was active completes, including its sub-workflows; only new runs are refused.
- The Public API and the MCP server are closed. Every call and every tool answers
subscription_blocked(HTTP 402 on the API). Reads happen in the web app until the account is reactivated. When a subscription is cancelled or expires its API keys are revoked; after reactivating, a member creates new ones.
An agent that receives subscription_blocked cannot fix it by retrying or by changing the request: tell the person
that the organization’s subscription has ended and that a member must reactivate it in Madoo, in Settings →
Billing.
Reactivating
Section titled “Reactivating”Reactivating means choosing a plan again — the same one as before or a different one — and completing the checkout. It starts a new subscription from that day; the ended one stays in the billing history as it was. As soon as the payment is confirmed the account is fully usable again, with everything it had.
Credits carry over. Credits left at the end are kept, shown as frozen while the account is read-only, and can be spent again once a new subscription starts, together with the credits the new plan brings.
How long the data is kept
Section titled “How long the data is kept”An organization whose subscription has ended keeps its data for 90 days. Before deleting anything Madoo writes to its owners three times, about one month, 15 days and one day before the date; the e-mail sent when the subscription ends already states that date, and so does the banner in the app. Reactivating at any point before the date cancels the deletion.
On the date, the organization’s content is deleted: workflows, document templates, files, runs and their results. The organization itself, its members, its billing history and its invoices remain, so the account can still be reactivated afterwards, starting from an empty workspace.
A paused subscription is read-only too, but its data has no deletion date while it stays paused.
